Identify the collection point

Confirm whether keys are collected at the apartment, from a separate office, from a named contact or through a self-check-in arrangement. Save the exact location and the latest instructions before travelling. An office a short distance away can still require a different journey when you arrive with luggage.

Ask about collection hours and the procedure if your arrival is delayed. If a person will meet you, establish how to update them and whether there is a stated charge for arrival outside the usual period. If access relies on a code or app, find out when the details will be supplied and what help is available if they fail.

Plan for the whole group

Ask how many sets of keys or access devices are provided. Two couples who expect to return separately may need a different arrangement from a family travelling together. Check whether a device is also needed for a lift, garage or building entrance, since handing over an apartment key may not give another guest access to everything required.

If the property uses a key card to control electricity, ask how that works before deciding that one person can leave with it while another remains inside. Do not assume you can obtain extra copies or bypass the system. Agree a practical arrangement with the accommodation contact.

Read the return instructions before departure

Confirm where keys and remotes must be left and whether returning them prevents further access to the building. This matters when luggage, a car or another guest is still inside. Work through the sequence before closing a door that may lock behind you.

Check the agreed check-out time and how to report an earlier departure. If a handover appointment is required, arrange it with enough time for the onward journey. Keep the contact details available until everyone and all belongings are out.

During the stay, follow the property's instructions for a lost key or malfunctioning lock and use the established assistance route. Avoid leaving keys in an unagreed public place for convenience. A clear collection-and-return plan is a small part of booking, but it can determine whether both ends of the holiday run smoothly.
