Start with the listing
Read the description, amenity list, booking conditions and recent photographs before writing. Mark the details that remain unclear or appear inconsistent. If the description already gives an unambiguous answer, there is usually little value in repeating the question unless you need confirmation that it applies to your dates or selected unit.
Decide which uncertainties could change the booking decision. Step-free access, a separate bedroom or a reserved parking space may be essential; the colour of the chairs probably is not. Put the essential questions first so a reply can quickly establish whether the apartment is worth considering further.
Describe the practical requirement
Replace broad wording with a concrete situation. Instead of asking whether access is easy, ask whether there are steps between the pavement and the lift and whether a floor plan or measurements are available. Instead of asking whether the internet is good, explain that two guests may need video calls and ask what connection information the host can provide.
For a family, request the particular cot or bed arrangement needed for the dates. For a shared stay, ask whether the bathroom can be reached without passing through another bedroom. The goal is to obtain a verifiable description of the property rather than a general reassurance.
Keep the message manageable
Group related questions into a short, readable message and include the dates and intended guest count. Ask for a recent photograph or a dimension only where it would resolve a meaningful uncertainty. A long questionnaire covering every possible feature can make the few important questions harder to identify.
If the reply misses an essential point, follow up by referring to that single issue. Do not treat silence or an answer to a different question as confirmation. Where the response remains unclear, keep that uncertainty in the comparison rather than filling it with your preferred interpretation.
Save useful replies with the booking record, particularly when an arrangement is promised specifically for your stay. Clear questions cannot remove every unknown, but they can help you choose based on the features that matter to your group and explain exactly what was agreed if you need assistance later.
