Work backwards from the apartment door
The flight's scheduled landing time is only the beginning of arrival. Allow for collecting bags, reaching your transfer and finding the actual building entrance. A family arriving after a travel day needs a plan that still works if one of those stages takes longer. Confirm the check-in window and ask what happens when the flight is delayed. Save the address and entrance instructions offline, and keep the host's contact details available to both travelling adults where possible.
A useful arrival message is brief and operational: give the expected arrival window, explain that you are travelling with children, and ask for the delayed-arrival procedure and the nearest workable food option. Recheck any suggested shop independently for your date. If the flight arrives well after normal check-in, obtain a firm arrangement before travel rather than expecting a message sent from the airport to resolve it.
Separate the essentials from the suitcases
Pack the things needed before bedtime together: nightwear, toothbrushes, a familiar comfort item and the first change of clothes. That avoids opening every case while someone wants to sleep. Keep your own necessary travel documents accessible rather than buried beneath beach towels. Agree who will handle the key instructions and who will stay with the children and luggage during arrival. This is a practical division of jobs, not an assumption that the property will offer a reception desk or someone to carry bags.
Keep the first apartment meal separate from the full holiday shopping plan. One adult should not need to disappear for an hour to buy every breakfast and cleaning supply while the other manages tired children in an unfamiliar flat. If splitting up is necessary, agree where you will meet and make sure the person remaining indoors understands the entrance system. The best small decision may be to buy less and do the proper shop the following morning.
Give dinner a fallback
Choose a modest first meal that does not depend on mastering an unfamiliar cooker. Check food-shop opening hours for your actual arrival day and identify another option if that shop is closed. Any host-provided welcome groceries need explicit confirmation, including what is supplied and whether there is a charge. If your children have particular food requirements, plan with the information you can verify rather than expecting an unknown shop to stock a familiar product. Buy only what you need before inspecting the kitchen.
Leave tomorrow's decisions until tomorrow
After entering, locate the bathroom, the sleeping spaces and the exit, then deal with the immediate meal and bedtime routine. Report an essential problem promptly through the booking contact. Unpacking non-essential clothing and researching excursions can wait until morning. A gentle first evening leaves room for delayed transport, a missing supermarket item or a child who simply needs a quieter finish to the day. The useful arrival plan is the one with the fewest fragile dependencies.
