List the work that will actually exist
Include buying food, carrying it home, preparing meals, washing dishes, dealing with rubbish and sorting shared supplies. The person who makes the reservation may also end up answering every host message unless that role is discussed. Do not assume that holiday jobs will distribute themselves according to spare time. Ask which tasks people prefer and what they would find difficult. Children can take appropriate small roles, but adult responsibilities should remain clear rather than depending on reminders throughout the day.
Separate meals from automatic hosting
If one person enjoys cooking, check whether they want to do it every night or just occasionally. A shared apartment does not mean every meal must be a group event. Agree a few shared meals and leave other times open for separate plans. When someone cooks for everyone, another person can clear the kitchen afterwards. This simple exchange is easier to sustain than treating one family member's enthusiasm for food as an unlimited offer to cater the whole holiday.
Make shopping predictable
Keep one shared list and decide how costs will be recorded. Before a shop, check who will be eating in and what is already in the cupboards. Personal snacks or specialist items can be handled separately if that makes the accounting simpler. Rotate carrying and unpacking as well as choosing groceries; the less visible parts of a shop still take effort. If mobility or other needs affect what someone can do, choose a contribution that fits rather than trying to make every job identical.
Review the arrangement early
After a couple of days, ask whether anyone is spending more time on chores than expected. Change the system while the holiday is still underway. A short note on the fridge or a shared message can record the next meal's cook and cleaner without creating a formal rota for every hour. The aim is enough clarity that people can relax. When responsibilities are visible, help becomes a normal part of the stay instead of something one person repeatedly has to request.
